Terms of Service

You must be 18 or older and provide accurate information. You are responsible for the activity on your account and for keeping your password secure. Tell us promptly if you believe your account has been accessed without your permission.

If you join an organization, your administrators can see and manage the employment records that organization owns. Records in your Professional Passport remain yours and travel with you between employers.

Free plans are available. Paid plans are purchased and managed on our website through our payment processor. Subscriptions renew automatically for the same term until cancelled, and the price in effect at renewal applies.

You may cancel at any time from your subscription settings; access continues until the end of the paid period. Fees already paid are non-refundable except where required by law. We will give notice before any price change takes effect at your next renewal.

Installed and mobile versions of the app carry your existing web subscription. No purchases are made inside the app.

You keep ownership of everything you enter or upload. You grant us the licence needed to host, process, display, back up and transmit that content in order to run the service for you, including automated extraction of details from documents you upload.

You are responsible for having the right to upload what you upload, and for the accuracy of the records you keep. Do not upload protected health information about the people you serve — this platform is for workforce and professional development records.

• Do not falsify supervision records, signatures, credentials or continuing education entries.
• Do not share an account, or access data belonging to someone who has not authorised you.
• Do not attempt to breach, probe or overload the service or its security controls.
• Do not resell, scrape or copy the service or its content without written permission.
• Do not upload malware or unlawful material.

We may suspend or terminate accounts that break these rules.

Operation Optimize summarises publicly published certification requirements for convenience and calculates progress from the information you enter. It is not legal, regulatory, employment or certification advice, and it does not determine your compliance. Requirements change, and certifying bodies are the sole authority on your standing. Always confirm current requirements directly with your certifying body and your employer before relying on anything shown here.

We work to keep the service available but do not guarantee uninterrupted operation. We may add, change or remove features. If we make a material change that reduces functionality you pay for, we will give reasonable notice.

You may stop using the service and delete your account at any time. We may suspend or end access if you breach these terms, if required by law, or if continuing would create a security or legal risk. Export your records before closing your account — deletion is permanent.

The service is provided “as is” without warranties of any kind to the fullest extent permitted by law. To the maximum extent permitted by law, our total liability arising from the service is limited to the amount you paid us in the twelve months before the claim, and we are not liable for indirect, incidental or consequential losses, including lost certification, employment or income.

We may update these terms and will revise the date above. Continued use after an update means you accept the revised terms.
