RBT supervision & performance

What is the minimum percentage of hours an RBT must receive supervision per month?
5% of the hours the RBT spent delivering behavior-analytic services that calendar month. The requirement is proportional, so there is no fixed number of hours — a 40-hour service month owes at least 2 hours of supervision and a 120-hour month owes at least 6. Full guide: RBT supervision requirements →
What is the minimum number of face-to-face supervision sessions RBTs must have each month?
Two. Each calendar month with service delivery must include at least two real-time, face-to-face supervision contacts, held on separate occasions, and at least one of them must be individual — one supervisor with that RBT alone. Full guide: RBT supervision requirements →
How do you calculate RBT supervision percentage?
Divide the supervision hours received in the calendar month by the hours of behavior-analytic services delivered in that same month, then multiply by 100. For 6 supervision hours against 120 service hours, the result is 5%. Full guide: RBT supervision percentage calculator →
Is the 5% calculated per month or per year?
Per calendar month. A strong month does not offset a short one, so each month has to stand on its own. Full guide: RBT supervision percentage calculator →
Can I track RBT supervision in a spreadsheet?
Yes, and it is a reasonable starting point for a small team. The practical limit is where late entry, formula drift and lack of alerting mean the summary is no longer trusted — usually somewhere around ten to fifteen technicians. Full guide: RBT supervision tracker →
How long should supervision records be kept?
Keep records for at least the period required by your certifying body and any applicable payer or state requirement, whichever is longest. Set a single organizational retention rule and apply it uniformly. Full guide: RBT supervision tracker →
What is a PDU in ABA?
A professional development unit is a recorded unit of continuing professional learning. For RBTs it maps to a real recertification requirement — 12 PDUs per two-year cycle — rather than being purely an internal organizational metric. In-service PDUs are awarded in 0.5 increments: 0.5 for 25 minutes of instruction, 1 for 50 minutes, never rounded up. Full guide: RBT PDU tracker →
Do RBTs need continuing education to renew?
Yes. Alongside the supervisor attestation and ongoing monthly supervision, the BACB requires 12 professional development units within each two-year recertification cycle for RBTs certifying or recertifying from 1 January 2026. The 12 PDUs replace the yearly renewal competency assessment, which RBTs certified before 2026 complete one final time at their 2026 renewal. Verify your own cycle in the RBT Handbook. Full guide: RBT PDU tracker →
What should be in a 30/60/90-day plan for an RBT?
Day 30 covers training completion, safety, plan adherence and documentation. Day 60 covers independent implementation fidelity and consistency. Day 90 covers readiness for full caseload plus a written development plan for the following quarter. Full guide: RBT 30/60/90-day review template →
Who runs the review?
The technician's assigned supervisor, with the clinical director reviewing outcomes across all new hires so patterns in onboarding quality are visible. Full guide: RBT 30/60/90-day review template →
What is the RBT Competency Assessment?
It is a structured demonstration of the skills on the RBT Task List, conducted by a qualified assessor. The candidate performs each required task to criterion — some with a client, others by role-play or interview — and the assessor signs the record used for the certification or renewal application. Full guide: RBT Competency Assessment guide →
Who can conduct an RBT Competency Assessment?
A BCBA, BCaBA or BCBA-D in good standing who meets the BACB's supervisor training requirement and has no conflict of interest with the candidate. Training attendance alone does not qualify someone to assess. Full guide: RBT Competency Assessment guide →
Does group supervision count toward the RBT 5% requirement?
Yes, group supervision counts toward the monthly percentage, but only up to a capped proportion of the total supervision received, and it cannot satisfy the individual contact or the requirement for observation with a client. Full guide: Individual vs group supervision for RBTs →
How many RBTs can be in a group supervision session?
Group supervision is intended for a small group rather than a lecture audience, and the BACB sets an upper limit on the number of supervisees in a group contact. Confirm the current limit in the RBT Handbook before scheduling large sessions. Full guide: Individual vs group supervision for RBTs →
How long does the RBT Competency Assessment take?
It depends on the assessor and how many tasks need to be repeated, but plan for a session of a few hours rather than a short meeting, and for at least part of it to involve a client. Full guide: RBT competency assessment preparation checklist →
What happens if I do not pass a task?
A task performed below criterion is retrained and reassessed rather than being a permanent failure. Confirm your assessor's process for retraining and reassessment before the session. Full guide: RBT competency assessment preparation checklist →
Can the competency assessment be done before the 40-hour training?
No. The training must be completed before the Initial Competency Assessment. Full guide: RBT 40-hour training: timing and sequence →
How long is the 40-hour training valid?
It is valid for a limited period before the assessment and application, so training completed long in advance may need to be repeated. Confirm the current period in the RBT Handbook. Full guide: RBT 40-hour training: timing and sequence →
Who is responsible for keeping RBT supervision documentation?
Both parties. The supervisor must maintain documentation of supervision provided, and the RBT must maintain documentation of supervision received. Relying only on an employer's system leaves the RBT without records after a job change. Full guide: RBT supervision documentation requirements →
How long must RBTs and supervisors maintain supervision records?
For at least seven years, consistent with the BACB's record retention expectation — and both parties keep their own copies. Renewal attestations and audits can reach back well beyond the current certification cycle, so the obligation survives the end of the employment or the supervisory relationship. Full guide: RBT supervision documentation requirements →
Does a team meeting count as RBT supervision?
Not on its own. A general staff or administrative meeting is not supervision. A small-group clinical session led by a qualified supervisor covering shared clinical content can count as group supervision, within the group cap. Full guide: What counts as RBT supervision →
Does the 40-hour training count toward supervision hours?
No. The 40-hour training is a prerequisite for certification and is separate from the ongoing monthly supervision requirement that begins once the RBT is delivering services. Full guide: What counts as RBT supervision →
How frequently must RBTs receive supervision in relation to their work hours?
At least 5% of the behavior-analytic service hours the RBT delivers each calendar month must be supervised — that is 5% of monthly work hours spent on service delivery, not of every paid hour. Full guide: How many RBT supervision hours per month →
What percentage of an RBT's work hours must be supervised each month?
5% — applied to the hours actually spent delivering behavior-analytic services that calendar month, across at least two contacts, with at least one contact including observation with a client. Full guide: How many RBT supervision hours per month →
Can a BCaBA supervise an RBT?
Yes. A BCaBA with active certification who has completed the BACB's required supervision training can supervise RBTs. Eligibility is judged on the date of each contact. Full guide: Who can supervise an RBT →
Who can supervise an RBT?
A BCBA or BCBA-D in good standing, or a qualified BCaBA — in each case with the required supervision training completed. RBTs and uncertified staff cannot supervise. Full guide: Who can supervise an RBT →
How long does it take to become an RBT?
The 40-hour training can be completed in one to two weeks, and the remaining steps — competency assessment, background check, application and exam — typically add four to eight weeks depending on assessor availability and BACB processing. Two to three months from start to certification is a realistic plan. Full guide: How to become an RBT: requirements and timeline →
Do you need a degree to become an RBT?
No. A high school diploma or the national equivalent is sufficient, along with being at least 18 years old and meeting the training, assessment, background check and examination requirements. Full guide: How to become an RBT: requirements and timeline →
How long is RBT certification valid?
RBT certification runs on a recurring renewal cycle set by the BACB. Confirm your own cycle start and end dates on your BACB record, since they follow your certification date rather than a calendar year. Full guide: RBT renewal: deadline, PDUs and timeline →
How many professional development units does RBT renewal require?
The BACB specifies the total number of units and the categories they must fall into for the renewal cycle. Check the current figure in the RBT Handbook, and count only units earned inside your own cycle window. Full guide: RBT renewal: deadline, PDUs and timeline →
How do I check if my RBT certification is still active?
Search the BACB certificant registry by your name or certification number. It is public and shows the current status. Your BACB account shows the underlying detail such as renewal dates and outstanding requirements. Full guide: Lapsed or suspended RBT certification: what to do →
Can a lapsed RBT certification be reinstated?
It depends on how long it has lapsed and why. Within the BACB's recovery window a late renewal with complete documentation is often possible; beyond it, the initial certification path applies. Confirm your specific situation through your BACB account. Full guide: Lapsed or suspended RBT certification: what to do →
How does an employer verify an RBT certification?
Through the BACB certificant registry, which is public and shows current status and certification dates. Supervision history, professional development units and competency documentation are not in the registry and have to come from you. Full guide: How to show a new employer your RBT credentials →
Do I lose my supervision hours if I leave an employer?
The hours you accrued remain yours, but access to your previous employer's records usually ends with employment. Request copies of your supervision documentation before you leave. Full guide: How to show a new employer your RBT credentials →

BCBA & BCaBA credentials

How many CEUs does a BCBA need?
32 CEUs in each two-year recertification cycle. Within those 32, at least 4 must be categorized as ethics, and BCBAs who supervise others need at least 4 categorized as supervision. The remaining 24 or more are general CEUs. A BCaBA needs 20, with 4 ethics and 3 supervision. Full guide: BCBA CEU requirements →
How many ethics CEUs does a BCBA need?
At least 4 ethics CEUs per two-year cycle, counted within the 32-unit total rather than on top of it. Since March 2025 the ethics category explicitly includes content on cultural and contextual responsiveness. Full guide: BCBA CEU requirements →
How many supervision CEUs does a BCBA need?
The current BCBA Handbook states 4 supervision CEUs within each two-year recertification cycle for BCBAs who supervise; an older graphic in the same document still shows 3, so plan to 4. Those units count toward the 32-CEU cycle total rather than being additional to it. A BCaBA who supervises needs 3, inside a 20-CEU cycle. Full guide: BCBA supervision CEU requirements →
Do supervision CEUs also count as general CEUs?
Yes. Supervision and ethics units are categories within the total requirement, so they contribute to the overall count as well as satisfying their own minimum. Full guide: BCBA supervision CEU requirements →
How many CEUs are required for BCBA recertification?
32 CEUs per two-year cycle, including a minimum of 4 ethics CEUs and, for those who supervise, supervision CEUs — the current BCBA Handbook narrative states 4, while an older graphic inside the same document shows 3, so plan to 4. A BCaBA cycle is 20 CEUs with 4 ethics and 3 supervision. Full guide: BCBA recertification checklist →
When does the recertification cycle start?
The cycle is tied to the individual's certification date, so it differs person to person. This is why organizational tracking has to be per person rather than against a shared annual deadline. Full guide: BCBA recertification checklist →
What should a BCBA CEU tracker record?
Activity title, provider, completion date, units awarded, category, the certificate file, and who verified the entry — with the individual's cycle start and end dates so pacing can be calculated. Full guide: BCBA CEU tracker →
Can one tracker cover BCBA, BCaBA and RBT staff?
Yes, provided the requirement rules are configured per credential type. Cycle length and category minimums differ, so a single shared rule set will misreport at least one group. Full guide: BCBA CEU tracker →
How much supervision does a certified BCaBA need each month?
At least 5% of the behavior-analytic service hours delivered that month during the first 1,000 hours after certification, then at least 2% after that. There must also be at least one supervision meeting every month, and during the first tier no less than one hour of supervision every two weeks. Full guide: BCaBA supervision requirements →
Is the BCaBA requirement the same 5% as the RBT requirement?
Only for the first 1,000 hours after certification, and even then the surrounding rules differ. RBT supervision requires two real-time contacts a month with at least one individual and at least one observation with a client; BCaBA supervision requires a monthly meeting with an active BCBA under a signed contract. Full guide: BCaBA supervision requirements →
How many fieldwork hours do I need for BCaBA certification?
1,300 hours of Supervised Fieldwork or 1,000 hours of Concentrated Supervised Fieldwork under the current requirements, within five continuous years. A mix is allowed: multiply the concentrated hours by 1.3, add the supervised hours, and reach at least 1,300. Full guide: BCaBA fieldwork requirements →
How many hours can I log per month?
Between 20 and 130 fieldwork hours in a calendar month. If you apply on or after January 1, 2027, the maximum rises to 160. Full guide: BCaBA fieldwork requirements →
How many ethics CEUs does a BCBA need?
At least 4 ethics CEUs in each two-year recertification cycle. They count toward the 32-CEU total rather than being additional to it. A BCaBA also needs 4, inside a 20-unit cycle. Full guide: BCBA ethics CEU requirements →
What counts as an ethics CEU?
A continuing education activity that an authorized provider has categorized as ethics. Since March 2025 that category explicitly includes content on cultural and contextual responsiveness. The provider's own authorization and description decide the category. Full guide: BCBA ethics CEU requirements →
Are free BCBA CEUs legitimate?
Yes, when the provider is authorized under the BACB's continuing education framework for that activity. Price has no bearing on whether a unit counts — authorization does. Verify the provider in the BACB's ACE directory before attending. Full guide: Free BCBA CEUs →
Can employer training count as CEUs?
Yes, if the employer is an authorized provider and the event is delivered under that authorization. Ask for the certificate showing the provider details, unit value and category before treating the hours as CEUs. Full guide: Free BCBA CEUs →
How many CEUs does a BCBA need every 2 years?
32 CEUs per two-year cycle, including at least 4 ethics CEUs and, for those who supervise, 4 supervision CEUs. All completion dates must fall inside the individual's own cycle window. Full guide: BCBA CEU cycle timing →
When does a BCBA's CEU cycle start?
The cycle is tied to the individual's certification date, so it differs from person to person. The exact window for any cycle is visible in the certificant's BACB account. Full guide: BCBA CEU cycle timing →
What is ABA credentialing?
The term covers two processes: professional certification, where a clinician earns and maintains a credential such as BCBA, BCaBA, or RBT with the Behavior Analyst Certification Board, and payer credentialing, where a provider or practice is enrolled with insurance payers and Medicaid so services can be billed. Both must be tracked, and they run on separate cycles. Full guide: ABA credentialing →
How do I apply for Medicaid credentialing as an ABA provider?
Apply through your state Medicaid agency's provider enrollment process, which varies by state. In practice you will typically need an NPI, current certification or license details, liability insurance, a background check, and practice information such as your tax ID and service locations. Confirm the exact requirements with your state agency before applying, and record your submission date so follow-ups have a paper trail. Full guide: ABA credentialing →
What is the BACB Gateway?
It was the BACB's online account system for applicants and certificants. Since June 29, 2026 the BACB uses an updated BACB portal for applications, recertification and continuing education records. Full guide: BACB Gateway: what it is and what replaced it →
How do I log in to the BACB Gateway?
Go to bacb.com and use the account login link to reach the current BACB portal. Sign in with the email on your account; if you've lost access to that email, contact the BACB through its Contact Us form. Full guide: BACB Gateway: what it is and what replaced it →
What is on the BCBA exam?

Does the Ethics Code apply to RBTs?
RBTs are held to the RBT Ethics Code, a parallel document written for the technician role. Supervising behavior analysts remain responsible for what they delegate. Full guide: The Ethics Code for Behavior Analysts, explained →

Running an ABA team

How long should ABA onboarding take?
Plan for 90 days with fixed checkpoints at 30, 60 and 90. Week one covers safety and compliance essentials; the remainder builds independent delivery fidelity. Full guide: ABA employee onboarding checklist →
Who owns onboarding steps?
Split ownership: operations handles pre-start credentialing and access, and the assigned supervisor owns everything clinical from week one. A single owner for the whole process is where steps quietly stall. Full guide: ABA employee onboarding checklist →
What should be on an ABA clinical director dashboard?
Supervision months behind pace, blocked onboarding steps by owner, credential renewals at risk within 90 days, and supervisor capacity — each convertible into an assigned action. Full guide: ABA clinical director dashboard →
How often should a director review it?
Weekly while periods are open. A monthly review can only confirm what already happened; a weekly one can still change the outcome. Full guide: ABA clinical director dashboard →
How many RBTs can one BCBA supervise?
There is no single number. It depends on each technician's service hours, the required percentage, and how many hours the supervisor genuinely has available. Calculate demand in hours rather than relying on a headcount rule of thumb. Full guide: ABA supervisor workload tracker →
What utilization is sustainable?
Plan for supervision demand to sit meaningfully below available hours, because cancellations, leave and caseload spikes all consume the margin. A caseload planned at full utilization fails the first time anything moves. Full guide: ABA supervisor workload tracker →
What does ABA credential tracking software do?
It stores credential and continuing education records per person, evaluates them against the requirement rules for their credential type and cycle, holds the supporting evidence, and surfaces renewal risk with enough lead time to act. Full guide: ABA credential tracking software →
Can HR software handle ABA credentials?
General HR tooling usually stores an expiry date but cannot evaluate category minimums, staggered cycles or versioned rules. That gap is why most ABA organizations end up with a parallel spreadsheet alongside their HR system. Full guide: ABA credential tracking software →

Medicaid & insurance authorizations

What is an ABA authorization?
A payer's written advance approval of a set number of service units or hours for specific billing codes over a defined period. Services delivered without a valid authorization are generally not reimbursed. Full guide: ABA authorizations explained →
How long does an ABA authorization last?
Commonly around six months, but the approved period is whatever the decision letter states. Read the start and end dates from the approval itself, not from habit. Full guide: ABA authorizations explained →
How long does ABA prior authorization take?
It varies by payer, state and completeness of the package — from days to several weeks. Submitting complete documentation and responding to information requests within a day is the part a provider controls. Full guide: How ABA prior authorization works →
What documents are needed for ABA prior authorization?
Typically diagnostic documentation, an assessment report, a treatment plan with requested hours per code, any required physician's order, and the rendering and supervising providers' credential and enrollment details. Full guide: How ABA prior authorization works →
When should I submit an ABA reauthorization?
At least 30 days before the current authorization ends, or earlier when the payer's stated lead time is longer. Treat the submission date as the real deadline. Full guide: ABA reauthorization timelines →
What documentation does reauthorization need?
Progress data against current goals, updated goals for the next period, utilization of the current authorization, the requested hours with justification, and current coordination-of-care details. Full guide: ABA reauthorization timelines →
How do I track authorized ABA units?
Record the authorized units and period dates from the approval letter, total delivered units weekly, and compare against an even pace across the period. The free calculator on this page does the projection in one pass. Full guide: Tracking authorized ABA units →
How many ABA units are in an hour?
Most ABA billing codes are 15-minute units, so one hour equals 4 units. Check each code's definition in the payer's fee schedule or your contract. Full guide: Tracking authorized ABA units →
Can you appeal an ABA authorization denial?
Yes. The decision letter states the appeal route and deadline. Request the clinical criteria used, address the stated reason directly with documentation, and escalate to external or state review where available. Full guide: ABA authorization denied or reduced →
Why would ABA hours be reduced instead of denied?
The reviewer agreed the service is medically necessary but judged that fewer hours match the documented severity, setting, or progress picture. The decision letter states the reason and the approved units. Full guide: ABA authorization denied or reduced →
Does Medicaid cover ABA therapy in every state?
Federal EPSDT rules require coverage of medically necessary behavioral health treatment for members under 21, so every state covers ABA in some form. The delivery model, rates and authorization process differ by state — confirm specifics with your state Medicaid program. Full guide: Medicaid coverage for ABA therapy →
What are the guidelines for Medicaid covering ABA therapy?
The guidelines come from two layers: the federal EPSDT rule, which requires state Medicaid programs to cover medically necessary services for members under 21, and each state's own program rules, which define delivery models, billing codes, provider enrollment and the authorization process. Federal law sets the floor; the state program and its managed-care plans set the specifics. Full guide: Medicaid coverage for ABA therapy →
Does insurance cover ABA therapy?
Usually yes: all 50 states mandate autism coverage in fully-insured plans, and Medicaid covers members under 21. Self-funded employer plans follow federal rules and their own plan documents — many cover ABA, but it must be confirmed per plan. Full guide: Insurance coverage for ABA therapy →
What is a self-funded health plan and why does it matter?
The employer pays claims itself and buys insurance only for administration. Federal ERISA rules apply instead of state insurance mandates, so the state autism mandate may not reach the plan — the plan document decides. Full guide: Insurance coverage for ABA therapy →
Why does ABA therapy need insurance approval first?
Plans require advance review to confirm the service is medically necessary and to approve a specific number of hours. Delivering before approval generally is not covered. Full guide: ABA authorizations: a parent's guide →
How long does approval take?
From days to several weeks depending on the plan and how complete the request is. Quick responses to information requests are the part families and providers control. Full guide: ABA authorizations: a parent's guide →
What CPT code is used for ABA therapy?
Direct ABA treatment by a technician is usually billed as 97153. BCBA protocol work uses 97155, caregiver guidance uses 97156, and assessments use 97151 and 97152. Full guide: ABA CPT codes explained →
How many minutes is one ABA unit?
Most adaptive behavior codes are 15-minute units, so 4 units equal 1 hour. Check your payer's rounding rule for partial units. Full guide: ABA CPT codes explained →
Can a BCBA bill 97153?
Many payers allow it when the BCBA delivers the protocol directly, but payment rates and rules vary. Check your payer's policy. Full guide: 97153 CPT code explained →
How many units of 97153 are in a 3-hour session?
12 units, since each unit is 15 minutes. Full guide: 97153 CPT code explained →
Who can bill 97155?
A BCBA or other qualified healthcare professional the payer recognizes. Some payers also allow a BCaBA under supervision. Full guide: 97155 CPT code explained →
Is 97155 the same as RBT supervision?
Not always. The same visit can meet BACB supervision requirements and be billed as 97155, but only when the BCBA actually changes the protocol with the client present. Full guide: 97155 CPT code explained →
Does the child need to be present for 97156?
No. 97156 can be billed with or without the client present, as long as the caregivers attend. Full guide: 97156 CPT code explained →
Can 97156 be done over telehealth?
Many payers allow it, often with a telehealth modifier and place-of-service code. Check your payer's telehealth policy. Full guide: 97156 CPT code explained →
What makes an ABA treatment plan medically necessary?
Documentation that the diagnosis and assessed deficits significantly affect safety or daily functioning, that ABA at the requested intensity is the appropriate treatment, and that there is a risk of harm or regression without it. Full guide: How to write an ABA treatment plan that gets approved →
How many goals should an ABA treatment plan have?
There is no fixed number. Goals should cover the deficits found in the assessment and match the requested hours; reviewers question plans whose hours far exceed what the goals need. Full guide: How to write an ABA treatment plan that gets approved →
