ABA supervisor workload tracker
Supervisor capacity is not a headcount. It is the supervision hours a supervisor's caseload will demand this month, compared against the hours they actually have available for supervision.

"Eight supervisees" tells you very little. Eight technicians at 20 service hours each demand a fraction of the supervision that eight full-time technicians demand, and the difference is the reason a supervisor with a smaller list can be the one falling behind.
Measure demand, then capacity

Worked example

- Plus scheduling overhead for 12 contacts and 6 observations
- Supervisor availability for supervision: 24 hours
- Utilization: above 100% before overhead — this caseload is already over capacity
Signals that a caseload needs rebalancing
- The same supervisor appears behind pace across multiple supervisees in the same month.
- Observations are consistently the element that slips.
- Contacts cluster in the final week of the month.
- Documentation quality degrades — short, generic contact records.
- Utilization exceeds roughly 85% before overhead is counted.
Repeated shortfalls concentrated under one supervisor are a capacity finding, not a performance finding. Treating a structural overload as an individual failure produces a resignation rather than a fix.
Rebalancing options in order of disruption
- Move a small number of supervisees between supervisors with spare capacity.
- Convert some contacts to a compliant group format where the format genuinely fits.
- Reduce the supervisor's own direct caseload to release supervision hours.
- Add supervisory capacity — the only durable answer to sustained overload.

- There is no single number. It depends on each technician's service hours, the required percentage, and how many hours the supervisor genuinely has available. Calculate demand in hours rather than relying on a headcount rule of thumb.
- What utilization is sustainable?
- Plan for supervision demand to sit meaningfully below available hours, because cancellations, leave and caseload spikes all consume the margin. A caseload planned at full utilization fails the first time anything moves.
- How often should workload be reviewed?
- Monthly at minimum, and whenever a technician's hours change materially or a new hire is assigned.
