RBT 30/60/90-day review template
A 30/60/90-day review gives a new RBT three fixed checkpoints: at 30 days confirm the basics and safety, at 60 days assess independent delivery and consistency, and at 90 days decide readiness for full caseload with a written development plan.

New technicians rarely fail suddenly. They drift, and the drift is only noticed at the point where a caseload has already been affected. Fixed checkpoints at 30, 60 and 90 days catch that early, and they give the technician a predictable moment to raise what is not working.
Day 30 — foundations and safety
Assess
- Required trainings completed and evidenced
- Understands and follows the behavior plans for assigned clients
- Data collection accurate and submitted on time
- Session notes meet the organization's documentation standard
- Knows the escalation path for a safety or ethics concern
- Has met their supervisor at least twice with one client observation
- Ask: what part of the role is still unclear to you?
- Ask: has anything happened in session you were not sure how to handle?
- Ask: is your schedule workable as it stands?
Outcome to record
On track, needs support, or at risk — with one named action per concern raised.
Day 60 — independent delivery
Assess
- Implements procedures with fidelity without prompting
- Handles a session deviation appropriately and reports it
- Communicates with caregivers within scope and professionally
- Documentation is consistent, not just present
- Actions from the day-30 review were completed
- Supervision percentage has been met each month so far
- Ask: which procedures do you feel least confident implementing?
- Ask: what feedback have you received that you would like more of?
- Ask: what would make your sessions run better?
Day 90 — readiness and plan
Assess
- Consistent fidelity across more than one client or program type
- Reliable, timely documentation across the full period
- Professional conduct and dependable attendance
- Development goals from the first two checkpoints are closed or carried forward deliberately
- Credential and training records are complete and verified
Produce a written outcome
- A clear decision: ready for full caseload, ready with conditions, or extended support period.
- Two or three development goals for the next quarter, each with a measure.
- Named supervisor accountability for each goal.
- A date for the next review, set at the meeting rather than later.
Ask the technician to complete a short self-assessment before each checkpoint. It changes the meeting from an evaluation delivered to them into a conversation they arrive prepared for — and it surfaces concerns a supervisor would not have known to ask about.
What to record
| Item | Why it belongs in the record |
|---|---|
| Checkpoint date and attendees | Evidence the review happened on time |
| Self-assessment responses | The technician's own view, in their words |
| Ratings against each competency | Comparable across checkpoints and across staff |
| Agreed development goals | Carried into the next checkpoint automatically |
| Decision and any conditions | Removes ambiguity about caseload readiness |
Frequently asked questions
- What should be in a 30/60/90-day plan for an RBT?
- Day 30 covers training completion, safety, plan adherence and documentation. Day 60 covers independent implementation fidelity and consistency. Day 90 covers readiness for full caseload plus a written development plan for the following quarter.
- Who runs the review?
- The technician's assigned supervisor, with the clinical director reviewing outcomes across all new hires so patterns in onboarding quality are visible.
- What if a technician is not ready at 90 days?
- Record an extended support period with specific, measurable goals and a defined review date. An honest extension with a plan is more useful than a pass that hides a known gap.
How this works in Operation Optimize
Operation Optimize runs the 30/60/90 cycle as a scheduled workflow, not a document.
- Checkpoints are generated from the hire date and appear in the supervisor's queue when due
- Technicians complete a self-assessment before each review from their own portal
- Competency ratings and goals carry forward between checkpoints
- Leadership sees review completion and outcomes across every new hire
